Job Full Description:
A premium dealership in Grand Rapids is seeking a dynamic and experienced Office Manager/Controller to join the team. The ideal candidate will play a key role in overseeing day-to-day operations, ensuring smooth administrative processes, and providing leadership to the office staff. Responsibilities:
- Manage all administrative office activities, including scheduling, training, and mentoring the office staff.
- Ensure that all staff follow proper accounting procedures and maintain accurate records.
- Analyze and oversee the preparation of financial data for CPA reviews, minimizing audit or review costs.
- Review dealership payables, receivables, inventories, and accounting schedules to ensure accuracy.
- Maintain and post journal entries, including funding notices, and manage floor plan audit and reconciliation.
- Ensure banking controls are in place and being followed, aiming to improve data integrity and reporting.
- Stay updated on tax code revisions, Secretary of State regulations, and advise the dealer on necessary operational adjustments.
- Lead meetings according to EOS guidelines, including conducting 555s with employees and L10s with the administrative team.
- Attend Team Leadership meetings, training sessions, and Supervisory meetings when required.
- Develop, maintain, and enforce company policies, procedures, and ethical business practices.
- Prepare timely monthly, quarterly, and annual financial statements, tax filings, and audits.
- Perform additional duties as needed to ensure operational success.
Schedule: Monday - Friday, 8 am - 5 pm
Job Experience
- Minimum of three years’ dealership experience required.
- Reynolds and Reynolds DMS experience is a plus.
- Excellent organizational and time management skills with a proven ability to prioritize and meet deadlines.
- Strong attention to detail and ability to maintain confidentiality and integrity in all matters.
- Ability to exercise discretion and independent judgment in important matters.
- Strong leadership and mentoring abilities with the capability to lead a diverse team.
- Ability to adapt quickly to changing demands and challenges.
- Professionalism and ability to work independently and as part of a team.
Job Education
Bachelor’s degree in accounting or a business-related field preferred.
