Job Full Description:

A non-profit housing community in Grand Rapids, MI is seeking an Assistant Property Manager to join their team. This candidate must demonstrate the ability to work collaboratively, fostering trust, cooperation, and positive team dynamics. The Assistant Property Manager is responsible for supporting the day-to-day operations of the property, ensuring compliance with policies and procedures, and addressing the needs of residents. This role emphasizes the importance of safety, security, and effective problem-solving, while utilizing technology to streamline processes and enhance resident satisfaction.

Assistant Property Manager Responsibilities:

  • Assist in developing and implementing a comprehensive marketing plan to attract new applicants and retain current residents, leveraging digital platforms and community outreach.
  • Conduct interviews with prospective residents to understand their needs and qualifications, explaining occupancy terms and showcasing available units.
  • Ensure compliance with fair housing laws throughout the leasing process, promoting an inclusive and equitable environment.
  • Oversee the application process, ensuring all applications are completed, processed, and approved efficiently, and maintain accurate records in property management software.
  • Prepare rental agreements and compliance documents for initial, annual, and interim certifications, addressing any audit findings promptly.
  • Collect rents and other charges due, issue receipts, prepare bank deposits, and follow up on delinquent accounts.
  • Assist with the preparation and issuance of notices related to tenancy termination, in compliance with relevant laws and regulations.
  • Investigate security concerns or resident complaints, conducting property inspections to identify necessary repairs or unsafe conditions, and initiate corrective actions in a timely manner.
  • Foster positive relations with residents, encouraging open communication and prompt resolution of issues.
  • Collaborate with maintenance staff and contractors to coordinate repair activities, including emergency, preventative, and routine maintenance.
  • Monitor and track the property budget, assisting in the purchase of supplies and equipment while authorizing payment for services rendered.

Schedule: 8:00 AM - 5:00 PM, Monday through Friday

Assistant Property Manager Qualifications:

  • Strong interpersonal skills, demonstrating sensitivity to cultural backgrounds and varying needs of residents, while adhering to Fair Housing and Equal Employment regulations.
  • Ability to read and interpret business documents, professional journals, and governmental regulations effectively.
  • Proficient in writing reports, business correspondence, and procedure manuals, with the ability to present information clearly to diverse audiences.
  • Strong mathematical skills, capable of performing calculations related to budgeting and financial reporting.
  • Excellent problem-solving abilities, with a capacity to handle multiple variables in dynamic situations.
  • Proficient in property management software and Microsoft Office Suite, with a solid understanding of technology to improve operational efficiency.
  • Exceptional written and verbal communication skills, with a focus on clarity and professionalism.
  • Highly organized multitasker who thrives in a fast-paced environment, demonstrating initiative and proactive decision-making skills.
  • Capable of conducting productive meetings and managing team dynamics, ensuring timely follow-ups and actions.

Job Education

  • Bachelor’s degree and two or more years of relevant experience and/or training in property management or a related field.
